Project overview
A school management system gives office staff, teachers, parents and management one place to work. This case study describes the system Websofy delivers for schools, from the first admission enquiry to report cards and fee receipts.
The situation before
Admissions are tracked in a register, fees in a ledger, attendance in class registers and marks in spreadsheets. Fee defaulters are identified late, report cards take days to prepare and parents call the office for routine information.
Modules delivered
- Admissions: enquiry, application, document check and enrolment.
- Student records: profile, class, section and history.
- Fees: fee structures, instalments, concessions, receipts and due lists.
- Attendance: daily attendance with absence alerts.
- Examinations: marks entry, grading and report cards in the school's format.
- Communication: notices, homework and messages to parents.
- Reports: strength, collections, dues and results.
The academic year in the system
| Stage | Handled by |
| Admission | Enquiry and enrolment module. |
| Fee collection | Instalment plans, receipts and reminders. |
| Daily classes | Attendance and homework. |
| Assessment | Examinations and report cards. |
| Communication | Notices and alerts to parents. |
| Year end | Promotion, certificates and reports. |
Access for each role
The accountant sees fees, teachers see their own classes for attendance and marks, the principal sees reports across the school and parents see only their own child's information. Fee receipts and concessions are recorded with the user who issued them, which protects both the school and its staff. Student data is backed up regularly.
How Websofy delivered it
We set up classes, sections, fee structures and the grading pattern before a new session and imported existing student records. Office staff and teachers were trained separately, each on the part of the system they use. Admissions and fees were started first, followed by attendance, examinations and parent communication, so that the school was never asked to change everything in one week.
What changed
Fee dues are visible at any time, report cards are generated from entered marks and parents receive information without calling the office. See how this fits a wider platform on our education technology page, or ask for a demonstration.
How we approach engagements like this
- Requirement discovery mapped to the real workflow, users and data involved
- Solution architecture and module planning before any code is written
- Secure, tested engineering with clear documentation
- Structured handover, training and post-launch support
